1. Who We Are

CSIArt is the trading name of the casting practice run by CSI ART BUILDING LTD. The registered and operating address is 79 Wattville Road, BIRMINGHAM - B21 0DL, United Kingdom (GB). The studio casts sculptural facade panels, relief and mural works, plaster fabrication, site-specific installations, restoration pieces and related artwork for architects, developers, contractors and heritage teams.

When this policy refers to we, us or our, it refers to CSI ART BUILDING LTD and the CSIArt studio team. When it refers to you, it refers to any person whose personal information reaches us, whether you are a client, a professional contact, a supplier, a visitor to our website or a member of the public who has written to us.

We take our responsibilities seriously. We keep the information we hold to the minimum needed for the purpose at hand, we store it carefully, and we do not sell it to anyone.

2. Scope of This Policy

This policy applies to personal information collected through the CSIArt website, through email and telephone contact, through casting briefs and commission paperwork, through site visits and through any other channel connected to our work. It also applies to information we receive from third parties in the course of a project, such as a main contractor passing on the details of a site manager.

This policy does not apply to websites operated by other organisations, even where we link to them. It does not apply to information that has been fully anonymised so that it can no longer be connected to a person. It does not change any contractual term agreed separately in writing for a commission.

Where a client provides us with information about its own employees, subconsultants or site personnel, the client remains responsible for ensuring that those people know their details have been shared with us for the purpose of the project.

3. Information We Collect

We collect several kinds of information, and the kind depends on how you interact with the studio.

• Identity information such as your name, the organisation you represent, your role and your professional title.
• Contact information such as your email address, telephone number, postal address and any preferred method of contact.
• Project information such as the site address, the nature of the building, drawings, photographs, specifications, dimensions and deadlines you choose to share.
• Correspondence content such as the text of emails, notes taken during calls and the details of meetings.
• Financial information such as billing addresses, purchase order references and payment records connected to a commission. We do not store full card numbers in our own systems.
• Technical information such as the internet protocol address from which our website is accessed, the pages viewed and the times of those visits, where such information is generated by our hosting.
• Recruitment information such as a curriculum vitae and portfolio where a person applies to work or collaborate with us.

We do not seek out sensitive categories of information, and we ask that you do not send us special category data such as health details or information about beliefs unless a specific project genuinely requires it and we have agreed the handling in advance.

4. How We Collect Information

Most of the information we hold comes directly from you. You provide it when you complete the order slip on our contact page, when you email connect@csiart.lol, when you telephone +19708160991, when you hand over a business card at a site meeting, or when you send drawings and schedules for a commission.

Some information arrives indirectly. Our website hosting may generate routine technical logs. A main contractor or architect may pass on your contact details because you are the person coordinating a facade package. A supplier may share a delivery contact so that we can arrange collection. In each case we use that information only for the purpose for which it was shared.

We also create records ourselves. When we open a commission file we record the decisions made, the editions cast and the installation dates, because that record is essential to maintaining the work and honouring our warranties.

5. Why We Use Information

We use personal information for a defined set of purposes, and we do not repurpose it silently.

• To respond to an enquiry, answer a question and discuss a possible commission.
• To prepare quotations, agree scope, schedule casting runs and manage a project from brief to install.
• To issue invoices, record payments and meet our accounting and tax obligations.

• Contract. Processing is necessary to take steps at your request before entering a contract, or to perform a contract we have with you or with the organisation you represent.
• Legitimate interests. Processing is necessary for our legitimate interest in running a casting studio, responding to enquiries, maintaining project records and protecting the business, balanced against your rights.
• Legal obligation. Processing is necessary to comply with duties such as accounting, tax, health and safety and record keeping.

Our website is intentionally simple. We do not run advertising networks, we do not embed third party tracking pixels, and we do not sell audience data. Any cookies that are set fall into the essential category needed for the site to load and function, or into a basic analytics category that helps us understand which pages are useful.

Where analytics are used, they are configured to avoid identifying individuals wherever possible, and the data is reviewed in aggregate. You can control cookies through your browser settings, and you can delete existing cookies at any time. We are based in the United Kingdom. Most of the information we hold stays in the United Kingdom, but some service providers, particularly email and cloud hosting providers, may store or process data in other countries. Where information is transferred outside the United Kingdom, we take steps to ensure it receives an adequate level of protection, using recognised safeguards such as standard contractual clauses or an approved adequacy mechanism.

10. How Long We Keep Information

We keep information only for as long as it is needed for the purpose for which it was collected, plus any period required by law or by our legitimate need to maintain project records.

• General enquiries that do not lead to a commission are usually kept for up to twenty four months so that we can pick up a conversation again.
• Commission and edition records are kept for the life of the building wherever possible, because a cast element may need to be matched or repaired many years later.
• Financial records are kept for the period required by tax and accounting rules, currently six years after the end of the relevant accounting period.
• Recruitment records are kept for up to twelve months unless a longer period is agreed.
• Marketing consent records are kept until consent is withdrawn, plus a short period to record the withdrawal.

When a retention period ends, we delete or anonymise the information in a secure manner.

11. How We Protect Information

We use a combination of technical and organisational measures to protect personal information against loss, misuse and unauthorised access. These measures include access controls that limit studio systems to the people who need them, password protection, secure connections for our website and email, regular review of the information we hold, and clear instructions for staff and collaborators about handling data.

Physical records such as signed documents and project binders are kept in the studio at 79 Wattville Road and are available only to the team. Casting records, which are central to our ability to maintain a building, are backed up so that a single failure cannot erase them.

No method of storage or transmission is completely secure. If a personal data breach occurs and it is likely to result in a risk to your rights, we will notify the relevant authority and, where required, notify you without undue delay. Our work is directed at professionals in the construction, design and heritage sectors. We do not knowingly collect personal information from children, and we do not design our website to attract them. Much of the information we handle concerns people acting in a professional capacity: architects, developers, project managers, quantity surveyors, contractors, conservation officers and suppliers. Where that information is held in a business context, the same principles in this policy apply. We use professional contact details to progress projects, maintain a network of trusted collaborators and keep an accurate account of who did what on a building.

If you move organisation, you can ask us to update your details, and we will do so promptly. If you leave a role entirely, you can ask us to remove you as the contact and identify a successor, so that project communication continues without referring to you.
